Privacy Policy

1. Introduction

Welcome to SpokenAct, a product of WiscAI, LLC ("we," "us," or "our"). This Privacy Policy explains how we collect, use, store, and protect your information when you use the SpokenAct mobile application ("App"). By using SpokenAct, you agree to the practices described in this policy.

We are committed to protecting your privacy and being transparent about how your data is handled. SpokenAct is designed with a privacy-first approach — audio transcription happens entirely on your device, and we only process the minimum data necessary to deliver our AI-powered features.

2. Information We Collect

We collect the following types of information:

(a) Audio Recordings

Voice recordings you create within the App are stored locally on your device. Audio files are not transmitted to our servers or any third-party service.

(b) Text Transcripts

Transcription is performed entirely on your device using Apple's SpeechRecognizer framework. The resulting text transcripts are stored locally and, when you choose to generate an AI summary, are transmitted to our servers for processing.

(c) AI-Generated Summaries

When you request an AI summary, the generated summary, action items, key points, and topic tags are stored in our cloud database (Supabase) and associated with your account.

(d) Account Information

When you create an account, we collect your email address. Your account is managed through Supabase Auth.

(e) Subscription Status

If you subscribe to SpokenAct Premium, your subscription status, plan type, and entitlements are managed through RevenueCat. We do not store your payment details — all billing is handled by Apple through the App Store.

3. How We Use Your Information

We use the information we collect to:

  • Provide core App features — recording, transcription, and note organization
  • Generate AI summaries — processing your transcripts to produce summaries, action items, key points, and topic tags
  • Manage your account — authentication, account settings, and data synchronization
  • Manage subscriptions — verifying your premium status and entitlements
  • Improve the App — understanding usage patterns to enhance features (aggregated, non-personally-identifiable data only)

We do not use third-party analytics services, advertising networks, crash reporting SDKs, or tracking technologies. We do not sell your personal information.

4. On-Device Processing

SpokenAct uses Apple's SpeechRecognizer framework for speech-to-text transcription. This processing happens entirely on your device. Your audio recordings are never transmitted to our servers, Apple's servers, or any third party for transcription purposes.

Only when you explicitly initiate AI summarization is the text transcript (not the audio) sent to our servers for processing. This design ensures your raw audio data remains private and under your control at all times.

5. AI Processing

When you request an AI summary, your text transcript is sent to OpenAI's API (GPT-4o Mini) via our secure Supabase edge function. OpenAI processes the text to generate summaries, action items, key points, and topic tags.

Important: As of the effective date of this policy, OpenAI does not use data submitted via their API for model training. For the most current information, please review OpenAI's data usage policy.

Your data is never used to train, fine-tune, or improve AI models for other users or third parties.

6. Data Storage

Your data is stored in the following locations:

  • Audio recordings — stored locally on your device only
  • Transcripts and AI summaries — stored in Supabase (PostgreSQL), encrypted at rest, with row-level security ensuring only you can access your data
  • User accounts — managed by Supabase Auth with industry-standard security practices
  • Subscription data — managed by RevenueCat and Apple

7. Data Retention

Your data is retained for as long as your account remains active. If you choose to delete your account (available in Settings > Delete Account), all associated data — including transcripts, summaries, and account information — will be permanently deleted from our servers promptly upon request.

Locally stored audio recordings on your device are not affected by account deletion. You may delete these manually from your device at any time.

8. Third-Party Services

SpokenAct integrates with the following third-party services, each with their own privacy policies:

  • Supabase — database hosting, authentication, and edge functions (Privacy Policy)
  • OpenAI — AI text processing for summaries (Privacy Policy)
  • RevenueCat — subscription and in-app purchase management (Privacy Policy)
  • Apple — on-device speech recognition and App Store billing (Privacy Policy)

9. Children's Privacy

SpokenAct is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected personal data from a child under 13, we will take steps to delete that information promptly. If you believe a child under 13 has provided us with personal information, please contact us at support@wiscai.com.

10. Your Rights

You have the right to:

  • Access your data — view all recordings, transcripts, and summaries within the App
  • Correct your data — edit note titles, content, and organization within the App
  • Delete your data — delete individual notes within the App, or delete your entire account and all associated data via Settings > Delete Account
  • Export your data — export your notes and summaries from within the App (Premium feature)

For Users in the EEA, UK, or Switzerland

For users in the European Economic Area (EEA), UK, or Switzerland: We process data based on your consent and performance of contract. You have additional rights including data portability, right to object, and right to lodge a complaint with your local data protection authority. Data is processed in the United States under Standard Contractual Clauses.

For California Residents

For California residents: Under CCPA/CPRA, you have the right to know what personal information we collect, request deletion, and opt out of sale/sharing. We do NOT sell or share personal information for cross-context behavioral advertising.

11. Important Disclaimers

SpokenAct is a productivity tool, not a substitute for professional advice. If you are experiencing a mental health crisis, contact the 988 Suicide & Crisis Lifeline (call or text 988) or call 911.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we make changes, we will update the "Effective Date" at the top of this page and notify you through an App update. Your continued use of SpokenAct after changes are posted constitutes your acceptance of the updated policy.
